In August 1996, our goal was simple: give dealerships a digital source of truth for their own records.

Back then, month-end accounting was printed on continuous-feed green-bar paper and filed in binders. It took up space, it was easy to damage, and nobody could find anything inside it.

Our first product took a dealership's month-end data off tape and returned it on CD. That is where the name CD-View came from.

The technology kept moving. CDs gave way to scanning. Scanning moved into the browser. In 2000, CD-View became One View.

The mission never moved.

A dealership should hold its own copy of its own records, somewhere it controls, independent of whatever system produced them.

Thirty years later, that is still the work.

Most dealerships cannot say, precisely, how long they are required to keep a given record.

Not because anyone is careless.

Because the answer differs by document type, by state, by franchise agreement, and by which regulator is asking. Deal files, employment records, warranty backup, accounting schedules and tax documentation do not share a single number.

So in practice one of two things happens.

Everything gets kept forever, which costs space and creates its own exposure. Or somebody makes a reasonable guess, and the guess gets discovered later.

A question that does not come up until it does: when a software contract ends, what happens to what is inside it?

Sometimes the answer is straightforward.

Sometimes it is an export in a format nothing else reads, a per-record fee, a deadline measured in days, or a conversation with a vendor who is no longer motivated to be helpful.

Retention obligations do not end when a contract does. That is the part that catches people.

The store still has to produce those records for years after the relationship is over, and by then the leverage has moved.

The alternative is boring and it works.

Keep the archive somewhere independent of whichever system happens to be running the store this year. Then a platform change is a platform change, not a records project.

A list of documents a dealership produces that never touch the system of record:

Technician notes. Handwritten trade appraisals. Body shop supplements. Vendor contracts. Employee files. Warranty claim backup.

Anything a customer signed on paper because the printer was closer than the tablet. Anything faxed. Anything a manufacturer still sends in the mail.

None of that is a reporting problem. It is a retrieval problem, and it surfaces at the worst possible moment: a chargeback, a claim, an audit, a dispute.

The system of record tracks the transaction. But when the supporting document is needed, where does that live, and how long does it take someone to find it?

Labor Day weekend is one of the busiest selling weekends of the year on a dealership lot.

So while most of the country is off, there are salespeople working, an F&I office running deals, and somebody in the back office who already knows what Tuesday is going to look like.

An auditor doesn't want to wait for you to find a document in a box.

They ask for one specific repair order from one specific month, and they usually ask for it while sitting in your conference room.

The gap between the question and the answer is where dealerships lose time. The records exist. Somebody still has to go find them, across departments, across systems, sometimes across a storage facility, while the person who needs them waits.

What shortens that is not better filing. It is knowing, before anyone asks, that every document is where it should be and that nothing expected is missing.

That last part is the one people skip. A folder full of scans looks complete. It is only proven complete when something checks it against what should be there.

When a dealership sells, the records don't leave with it.

That is usually the week somebody finds out where the records actually live.

Deal jackets in a storage unit off site. Service tickets inside a system nobody has logged into since the last conversion. Accounting schedules that exist, technically, inside a platform that now runs somebody else's store.

Nobody planned it that way. Documents end up wherever the system that created them puts them, and no one person owns the whole picture until the day somebody needs the whole picture.

Then the retention clock keeps running. The store is sold, the sign is down, and the seller is still paying to reach paperwork for a business they no longer own. A storage unit and a monthly invoice, or a subscription nobody wants to keep renewing. Neither was in the model when the deal was priced.

Keep the archive independent of the store's system and none of that follows you.
