POSITION TITLE: AUTOMOTIVE SERVICE ADVISOR / PARTS & OPERATIONS COORDINATOR
LOCATION: Washington, GA
POSITION SUMMARY:
We are seeking a highly organized and customer-focused Automotive Service Advisor to support daily operations of a NAPA Auto Parts store and independent repair facility. This role functions as the central point of coordination between customers, technicians, and parts suppliers. The position requires strong multitasking capability, technical familiarity with automotive systems, and the ability to operate efficiently in a fast-paced, high-demand environment. The successful candidate will manage customer interactions, schedule and track repair work, source and order parts, and ensure accurate documentation of all service activities.
PRIMARY DUTIES AND RESPONSIBILITIES:
Serve as the first point of contact for customers, providing clear communication on vehicle concerns, repair timelines, and cost estimates.
Schedule service appointments and manage daily shop workflow to maximize technician productivity and minimize downtime.
Create, update, and close repair orders with accurate labor, parts, and service details.
Diagnose customer needs at intake and translate concerns into actionable work orders for technicians.
Source, price, and order automotive parts through NAPA and other vendors, ensuring availability and cost control.
Coordinate parts delivery and verify correct components prior to installation.
Monitor job progress and proactively communicate status updates to customers.
Handle billing, invoicing, and payment processing in accordance with company procedures.
Maintain organized records of service history, parts usage, and customer interactions.
Resolve customer concerns or complaints professionally while maintaining operational efficiency.
Support inventory management, including stock checks, returns, and core processing.
Maintain a clean, safe, and professional front office and parts counter environment.
CORE COMPETENCIES:
Ability to multitask and prioritize in a high-volume, time-sensitive environment.
Strong customer service and communication skills with the ability to manage difficult conversations.
Working knowledge of automotive systems, parts, and repair processes.
Proficiency with shop management systems, point-of-sale systems, and parts lookup platforms.
Attention to detail in documentation, pricing, and order accuracy.
Problem-solving mindset with the ability to adapt quickly to changing shop demands.
Strong organizational skills and workflow management capability.
MINIMUM QUALIFICATIONS:
Prior experience in automotive service advising, parts sales, or repair shop operations preferred.
High school diploma or equivalent required; additional technical or automotive training preferred.
Valid driver’s license with acceptable driving record.
Basic computer proficiency, including scheduling and invoicing systems.
PREFERRED QUALIFICATIONS:
Experience with NAPA parts systems or similar automotive parts platforms.
Familiarity with flat-rate labor structures and service estimating.
ASE certification or equivalent automotive knowledge.
WORK ENVIRONMENT AND CONDITIONS:
Fast-paced shop and retail environment with frequent interruptions and competing priorities.
Regular interaction with customers, technicians, and vendors.
Occasional exposure to shop conditions including noise, fumes, and moving vehicles.
