SERVICE WRITER
Location: In-person | Schedule: Full-time | Pay: $25–$35/hr DOE

ABOUT US
Bill Hahn's Automotive is a trusted independent repair shop in the middle of a growth phase. Our team is tight-knit, our standards are high, and we take our work seriously — from the cars we fix to the way we communicate with our customers. We use Mitchell1 and AutoVitals to run our daily workflow, and we're committed to operating thoughtfully, not just speedily.

You'll be the operational engine behind our service department. That means: working with techs to create smart, fair, and detailed estimates for repair work; writing & updating clean, accurate repair orders throughout the day; ordering and tracking parts as they come in or need to be returned; coordinating with our technicians on what they need as jobs progress; and making sure everything flows according to our best practices. You'll work closely with Amber and our tech team every day.

THE ROLE
You'll be the operational engine behind our service department. That means: working with techs to create smart, fair and detailed estimates for repair work; writing & updating clean, accurate repair orders throughout the day; ordering and tracking parts as they come in or need to be returned; coordinating with our technicians on what they need as jobs progress; and making sure everything flows according to our best practices. You'll work closely with Amber and our tech team every day.

This isn't a front-desk-only role, actually far from it, as you’ll be in the tech-side office. You'll be in the mix — organizing warranty returns, managing parts returns, keeping things from falling through the cracks. If something's stalled, you'll notice it and fix it.

WHAT YOU'LL DO

Day-to-day:
* Write and manage repair orders (ROs) accurately and completely in Mitchell1
* Keep daily workflow moving through the bays using AutoVitals primarily and verbal communication when required
* Review, process and build ROs based on our techs’ Digital Vehicle Inspections (DVIs)
* Order parts, track incoming deliveries, and follow up on back/over/warranty/orders
* Coordinate with technicians — make sure they have what they need, when they need it
* Manage unused parts returns and warranty returns in an organized, timely manner
* Handle cashiering as needed (backup POS and printer in this office)

Occasionally:
* Support light shop management tasks as situations arise
* Assist Amber with customer-side communication when appropriate/needed (while your primary role won’t be interacting with each and every customer, if you “don’t like people” then this is probably not the role for you!).

WHAT WE'RE LOOKING FOR
* You communicate clearly, directly, and respectfully with technicians and co-workers (and customers as needed) and various forms of online ordering is a must! More about all the various parts involved in operating with expediency and integrity in the automotive repair industry.
* Experience as a service writer or in a shop operations role is great, but not required if you're sharp, willing to learn and interested in understanding more about all the various parts involved in operating with expediency and integrity in the automotive repair industry
* Mitchell1 experience preferred; AutoVitals experience is a bonus; comfort with computers, software programs and various forms of online ordering is a must!

WHO YOU ARE
* You have strong ethics — you do what you say, and you say what you do
* You're operationally minded: you notice what's out of place and you fix it
* You stay organized when things get busy
* You communicate clearly, directly and respectfully with technicians and co-workers (and customers as needed)
* You take ownership of your work without being told twice
* You're the type who figures things out, not the type who waits to be told what to do

PAY & SCHEDULE
* $25–$35/hr DOE, with bonus structure
* Full-time, in-person.
* Monday - Friday, 8am to 5pm, with some flexibility in timing your consistent 8 hour work shifts (Examples: 7:30 - 4 with a half hour lunch, or 7:45 - 4:45 with an hour lunch, etc).

Cannot stop thinking about the sweet family who owns Ex Voto and the recent loss of their dear son/brother/philosopher warrior. Wishing them so much peace and love in this awful new reality. We're so sorry that life has now been cleaved into such a stark "Before" and "After" - May Seth's memory be a blessing and may everyone never stop talking about him and all the gifts he brought to this world.

Used car market... seems a little harsh right now! We have a few customers considering the purchase of a pre-owned vehicle and they are reporting that the prices are CRAZY right now!

Gone are the days when you could pick up a be**er little daily driver for a few thousand dollars. It's gotten us thinking about the various tips and strategies we recommend to clients who are in the market for new or new-to-them vehicles.

Excited to see the updated artwork for our "Little Bill" the mechanic fella sail into our neighborhood mailboxes. OFFERING FREE INSPECTIONS/SECOND OPINIONS THROUGH THE HOLIDAYS:

We've had an unusual number of customers getting "laundry list" estimates from quick l**e chains and dealerships lately. In several instances, safety items are marked as urgent, and customers are naturally quite concerned and looking to do the repairs immediately.

On inspection in several of these cases, however, we have found that items marked urgent were *not* urgent and could definitely wait until much further down the road to be addressed, if needing to be addressed at all (AHEM).

Sometimes it's a matter of opinion or in-house practices - for example, do you replace brake pads at 5mm, 4mm, 3mm (safety spec is 3mm or below, which where we recommend replacement - at 5mm you have up to 10,000 more miles on those puppies, let's not be wasteful!) - and other times it can leave us scratching our heads as to why something in pretty great shape (AHEM) would be marked as needing to be replaced urgently...

For this reason, we encourage folks to bring in vehicles for second opinions on estimates or recommendations given at any auto service centers where they don't already have an established or trusted relationship. Most of the time techs doing inspections are just being thorough and noting what they see needing to be done on the vehicle, but sometimes, oh sometimes... well, let's just say it can seem a little more intentional of a scare tactic to get folks to agree to repairs right away, and we at Hahn's Automotive DO NOT APPROVE OF THESE METHODS.

With holiday road trips coming up fast, we'd like to offer "the second opinion" or "sanity check" vehicle inspection FREE to customers who want to be sure they are aren't being taken for a ride before they go for that ride to Grandma's or the all-grown-up kiddos houses or the Ski Resort or wherever in the wonderful world one heads for these upcoming festive and celebratory days and weeks off!
