Job Title: Inventory Controller/Receptionist
Job Status: Full-Time
Job Location: DriveNation Regina
Job Summary: The Inventory Controller/Receptionist is detail oriented, effective in a wide variety of functions and with diverse responsibilities that include administrative and clerical work, data entry, tracking and reporting functions. Some qualities that would describe this person are: upbeat and even-tempered, approachable, efficient, accurate, well-organized, flexible and resilient, teachable and growing, confident and outgoing.
Job Responsibilities:
Perform clerical duties including answering phones, faxing, scanning, opening/distributing mail, greeting and assisting customers.
Monitor and maintain current inventory levels
Stock in new units
Report units on lot
Track inventory matrix
Ensure all inventory is on the website and that sold units have been removed
Ensure all costs related to a specific vehicle are accounted for in the refurb’s
Process purchasing orders as required
Track orders and investigates problems
Ensure all open PO’s are current and followed up on
Order supplies for customer area as well as office supplies
Maintain customer area – ensure neat, tidy and stocked with coffee items
Record purchases, maintain databases, perform physical count of inventory, and reconcile actual stock count to computer-generated reports.
Submit invoices to accounting department for payment.
Track vehicle purchase cheques
Run lien searches as needed by the General Manager and others as requested.
Provide administrative support to the staff in the store
Maintain filing of deal jackets and customer files
Maintain petty cash
Prepare daily deposits and submit backup to the accounting department
Perform miscellaneous job-related duties as assigned.
Key Qualifications:
Detail orientated
Ability to prioritize, multi-task, and deal with time sensitive deadlines and priorities
Excellent problem solving and organizational skills
Working knowledge of Microsoft Office
Additional Requirements:
Proactive, energetic, and the ability to work both autonomously and as part of a team
Well organized, assertive, diplomatic, and detail oriented with accuracy in all functions of the role
Experience with accounting software; Reynolds and Reynolds, Great Plains, or CDK Global Dealership Management experience is an asset
College Diploma in Business Administration is considered an asset
