Job Title: Administrative Assistant

Reports To: Owner and General Manager

Motown Motors Ltd is a trusted provider of auto repair, auto body and towing services in Morris Manitoba. We are a fast-paced, customer-focused company, and we’re looking for an organized and reliable Administrative Assistant to join our team. This role is crucial for supporting daily operations, ensuring customer satisfaction, and maintaining smooth workflow in both the repair shop and towing services.
Key Responsibilities:
General Administrative Support:
Schedule appointments for vehicle repairs, towing services, and maintenance.
Organize and maintain customer and vehicle records.
Answer customer inquiries via phone, email, and in-person, providing clear information about services, pricing, and scheduling.
Assist with billing, invoicing, and tracking payments.
Manage and order vehicle parts, ensuring stock levels are maintained.
Customer Service & Coordination:
Greet customers in a professional, friendly manner and assist with checking in and out vehicles for repair or towing services.
Maintain customer relationships by following up on repairs, gathering feedback, and handling any concerns.
Coordinate with tow truck drivers and mechanics to ensure timely service delivery.
Process insurance claims or assist customers with insurance-related paperwork if applicable.
Towing Operations Support:
Coordinate incoming towing requests, prioritize based on urgency, and communicate with drivers.
Track and log towing jobs, ensuring accurate records and billing.
Handle emergency towing dispatches, ensuring a prompt and efficient response.
Data Entry & Office Coordination:
Maintain accurate logs of all services provided, including repairs, towing, and maintenance.
Assist with organizing repair orders, service history, and customer databases.
Prepare and update service estimates and quotes for customers.
Assist with tracking parts and tools required for repairs.
Miscellaneous:
Assist with other administrative tasks, such as marketing, inventory management, and event planning.
Assist management with special projects as needed.
Skills & Qualifications:
Experience: 1-2 years of experience in an administrative or customer service role, preferably in an automotive, repair, or towing environment.
Skills:
Excellent communication skills (both verbal and written).
Strong organizational skills and attention to detail.
Ability to multitask and handle various administrative duties in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with automotive software or invoicing software is a plus.
Ability to interact with customers and vendors in a professional and courteous manner.
