We’re seeking a highly organized and detail-oriented Heavy Duty Truck Repair Service Manager / Admin to join our team in Everett, MA. You’ll play a vital role in ensuring the smooth operation of our business, from greeting customers to managing the shop workflow.

Responsibilities:

Customer Service: Greet customers, assess their needs, answer phone calls, take messages, and handle inquiries professionally.
Scheduling & Communication: Schedule appointments, manage shop workflow, collaborate with mechanics, and keep customers informed of repair progress.
Administrative Tasks: Manage invoicing, filing, supply ordering, email correspondence, and other assigned duties.
Estimates & Repair Orders: Create estimates, write repair orders, and assist with insurance claims.
Recordkeeping: Maintain accurate records of customer information and service history.
Inventory Management: Communicate with vendors, price parts, order parts, and manage inventory.
Financial Management: Process and collect payments, manage social media presence.
Technical Skills: Proficient in Mitchell 1 software/ Shopkey Pro SE / Manager SE / repair programs (must have knowledge).
Software Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Qualifications:

Basic supervisory/leadership skills
Excellent communication and interpersonal skills
Strong organizational and multitasking skills
Detail-oriented with a focus on accuracy
Ability to work independently and as part of a team
Ability to work efficiently in a fast-paced environment
Problem-solving skills
Strong mechanical/repair knowledge (preferred)
Flexibility and a willingness to learn
Bilingual a plus
Must be able to read and write in English

Position Overview:
As a Part-Time Bookkeeper, you will be responsible for managing our financial records, ensuring accuracy in transactions, and providing valuable insights into our financial health. This role is pivotal in maintaining the financial stability and integrity of our business operations.

Responsibilities:
Maintain accurate and up-to-date financial records using accounting software (e.g., QuickBooks).
Record day-to-day financial transactions, including purchases, sales, receipts, and payments.
Reconcile bank statements and ensure accuracy in financial reporting.
Prepare and submit invoices, receipts, and expense reports.
Manage accounts payable and accounts receivable.
Assist in payroll processing and employee expense reimbursement.
Generate financial reports (e.g., balance sheets, income statements) for management review.
Ensure compliance with all applicable accounting regulations and standards.

Requirements:
Proven experience as a bookkeeper or in a similar role.
Proficiency in accounting software, such as QuickBooks.
Strong understanding of accounting principles and practices.
Excellent attention to detail and accuracy in data entry.
Effective communication skills, both written and verbal.
Ability to prioritize tasks and meet deadlines.
